Right now it runs on paper

I replace the paper, the phone calls and the memory with systems that have your rules built in — so the team runs the day and you run the business.

The method
Paper. Spreadsheets. Six apps. One system.

Orders on paper. Quotes in a spreadsheet. The schedule in someone's head.

01Sound familiar?

You know the admin is eating you. So why is it still on paper?

The quote

Fifteen minutes a quote

Rebuilt from scratch on every change. At 10–15 a day, that's your sales team typing for 15 hours a week instead of selling.

The one person

It lives in the owner's head

Order management only one person can navigate — no handover, no time off, and your best person buried in admin.

The app sprawl

Six apps, none connected

CRM, spreadsheet, calendar, accounts, WhatsApp — and you're the integration between them.

The evening shift

Invoicing at nine o'clock

The day goes to the site, the yard and the phone — so paperwork takes your evenings and your Sundays.

The next hire

£25k to cope with admin

A salary every year to move data a computer should move. Fix the process and most of that role disappears.

The false start

The team didn't use it

Off-the-shelf tools built for offices, not operations. A bad fit dies in a fortnight.

03Recent jobs

Real sites. Real yards. Real hours back.

Five systems running in live businesses today.

Job 001 — Wholesale nurseryIn daily use

Quoting rebuilt — and the order system out of the owner's head

A quote was a fifteen-minute juggle between website and spreadsheet, rebuilt whenever the customer changed their mind. Now 2–3 minutes from a 10,000-line inventory, and a change takes seconds.

15 min → 2–3 minto build a quote
675 hrs/yrsales time back on the phones
Job 002 — Procurement pipelineIn rollout

European buying, out of inboxes and into one pipeline

Enquiries copy-pasted into supplier emails, responses typed back by hand, no inbound stock tracking. Now one click sends a country's whole enquiry sheet; awarding a grower writes the PO and books the lorry.

8 hrs → 1 hra day of admin and data entry
14 steps → 4 clicksno typing, no transposition errors
Job 003 — Discount FencingLive · Continuous dev

A full ERP — drawings, quotes and all

Technical drawings that took the surveyor an hour or two at a desk now generate in seconds, at the point of recording measurements on site. Quoting builds on top; jobs flow to invoicing without retyping.

1–2 hrs → secondsper technical drawing
≈ £17k/yrsurveyor time recovered
Job 004 — Harrod OutdoorsLive in production

Four disconnected tools, one delivery platform

CRM to pin-map to Google Maps to calendar, by hand, every run. Now orders flow in automatically, routes build around real drive times and driver-hours law, and one click publishes the day.

10–18 hrs/wkof skilled staff time returned
£8k–£17k/yrclerical time recovered
Job 005 — Topiary TwinsFounder · Trading

An e-commerce brand that runs without me

04How it works

Audit. Sprint. Run.

Off paper first. Then the biggest bottleneck, and down the list.

Step 01 · The 10-Hour Audit

I find where the hours leak

I get inside your operation and map how work actually moves. You leave with a priced plan, your first automation already running, and a guarantee: 10+ hours found or it's free.

Step 02 · The Sprint

I build the system

Quoted against a named outcome, not hours. If the build doesn't deliver what the plan promised, I keep building at no extra cost until it does.

Step 03 · Run

You own it. I stay honest.

Documented and handed over with a 30-day check-in. Want me to keep tuning and extending it? Simple monthly retainer, no lock-in.

05Who you're dealing with

Built by someone who's done the jobs

Horatio at the nursery

I started at 18 in a glazing firm — two of us, me and the owner, turning over £100k a year. I did every role: sales, project management, fabrication, installations. Working under the MD I helped build the 3D quoting software, technical drawings, CNC-integrated specs and POD tablets. By the time I left there were thirty of us turning over £4.2m.

Most recently, a wholesale plant nursery brought me in as a business strategist — four people and £1m a year then; fifteen people and £3.2m two years later. I learned it by doing every job in it, then systemised each seat, biggest bottleneck first.

"My job in every business has been the same: be the owner's right hand. Build the systems that free their time — so they grow the business instead of operating it."

07Common questions

Asked before, answered straight

Is this just ChatGPT tips and generic AI advice?

No. Most of the businesses I work with haven't got the basics off paper yet — and that's where the real hours are. The work is systems: quoting that pulls from your inventory, routes that build themselves, orders that flow without rekeying. AI goes in where it earns its place.

How does the guarantee work?

If the audit can't show you at least ten recoverable hours a week, with evidence of where they're going, you get the full £1,500 back. On builds, every sprint is quoted against a named outcome; if it doesn't deliver, I keep working at no extra cost until it does.

We've bought software before and the team never used it.

Because it was sold into the operation, not built from inside it. I've done the jobs — sales, dispatch, deliveries, installs — and I build with your team from day one, testing on real Monday mornings. A system the team won't use is a failed system, whatever it cost.

Who actually does the work?

Me. No account managers, no offshore team, no handoffs. The person on the first call is the person inside your operation and the person building the system. I work with 3 clients at a time.

08One next step

Doing nothing costs more than the audit does.

Ten lost hours a week is £8,000–£17,000 a year, every year. The audit is £1,500, once, and guaranteed.
